How we handle your information at our shop

Look, we're a small auto repair shop in North Vancouver that specializes in European and import vehicles. When you come to us for service, we need some of your personal info to do our job properly. This policy explains what we collect, why we need it, and how we keep it safe.

We take your privacy seriously - probably more seriously than we take our coffee breaks (and trust me, that's saying something). We're not in the business of selling your data or spamming you with junk. We just wanna fix your car and keep you informed about it.

Who we are: Mythrun Evoid Auto Repair, located at 1247 Marine Drive, North Vancouver, BC V7P 1T4. We're the folks who get our hands dirty making sure your European or import vehicle runs like it should.

Here's what we typically need from you:

  • Contact Details: Your name, phone number, email address. Pretty standard stuff - we can't call you when your car's ready if we don't have your number, right?
  • Vehicle Information: Make, model, year, VIN number, mileage, service history. This helps us understand what we're working with and what your car might need.
  • Service Records: What work we've done, parts we've installed, diagnostic codes we've pulled. Basically a history of everything we've touched on your vehicle.
  • Payment Info: Credit card details, billing address. We process payments securely through our payment processor - we don't actually store your full card numbers.
  • Appointment Data: When you've booked to come in, what services you're getting, any special requests or notes you've given us.
  • Communications: Emails, texts, or messages you send us. Sometimes there's important info in there we need to reference.

We only collect what we actually need to provide you with quality service. We're not gonna ask for your mother's maiden name or what you had for breakfast unless it's somehow relevant to fixing your Audi's transmission.

We use your info for pretty straightforward reasons:

  • Providing Service: To actually work on your vehicle, order parts, perform diagnostics, and complete the repairs you've authorized.
  • Communication: To call, text, or email you about your service appointment, updates on your car's status, or when it's ready for pickup.
  • Maintenance Reminders: To send you friendly reminders when it's time for your next oil change or scheduled maintenance. We don't wanna see you break down on the Sea-to-Sky Highway.
  • Warranty Tracking: To keep records of work we've done under warranty and honor our guarantees on parts and labor.
  • Legal Compliance: To comply with Canadian laws, tax requirements, and business regulations. Gotta keep things above board.
  • Improving Our Service: To understand what we're doing well and where we can get better. Your feedback matters.

What we DON'T do:

  • We don't sell your info to third parties. Period.
  • We don't spam you with constant marketing emails. Maybe a seasonal reminder or special offer, but we're not gonna flood your inbox.
  • We don't share your data with anyone unless it's necessary for providing your service (like sending your VIN to a parts supplier) or required by law.

We take data security pretty seriously, even for a small shop. Here's how we protect your stuff:

  • Secure Storage: Your information is stored on secure servers with encryption. We use industry-standard security measures to protect against unauthorized access.
  • Limited Access: Only our staff who actually need access to your info can see it. Not everyone in the shop has the keys to everything.
  • Physical Security: Paper records are kept in locked filing cabinets. We're not leaving customer files laying around on the workbench.
  • Payment Security: Credit card transactions are processed through PCI-compliant payment processors. We don't store your full credit card details.
  • Regular Backups: We back up our data regularly so nothing gets lost if something goes wrong with our systems.

How long we keep it: We generally keep your service records for about 7 years - that's the standard for business records in Canada. After that, we securely delete or destroy them. If you haven't been back in a while and ask us to delete your info sooner, we can usually do that (as long as we don't need it for legal or warranty reasons).

Your data is stored in Canada, so it's subject to Canadian privacy laws including PIPEDA (Personal Information Protection and Electronic Documents Act).

Under Canadian privacy laws, you've got some rights when it comes to your personal info:

  • Access: You can ask to see what information we have about you. Just give us a call or send an email.
  • Correction: If something's wrong or outdated, let us know and we'll fix it.
  • Deletion: You can ask us to delete your information. We'll honor that request unless we have a legal reason to keep it (like warranty obligations or tax records).
  • Opt-out of Marketing: Don't wanna get our maintenance reminders or promotional emails? No problem - just let us know and we'll take you off that list. You'll still get essential service-related communications though.
  • Withdraw Consent: If you've given us permission to use your info for something specific, you can withdraw that consent anytime.
  • File a Complaint: If you think we've mishandled your data, you can complain to us first, or go directly to the Office of the Privacy Commissioner of Canada.

To exercise any of these rights, just reach out to us at (604) 555-7890 or email service@mythrunevoid.info. We'll respond within a reasonable timeframe, usually within 30 days.

Our website uses cookies - those little bits of data that websites store on your browser. Here's what we use 'em for:

  • Essential Cookies: These make the website actually work - things like keeping you logged into your appointment portal.
  • Analytics: We use basic analytics to see how people use our site, what pages they visit, that kinda thing. Helps us make the site better.
  • Preferences: These remember your settings so you don't have to set them every time you visit.

Most browsers let you control cookies through their settings. You can usually block or delete cookies, though some parts of our site might not work as well if you do.

We don't use advertising cookies or let third-party advertisers track you on our site. We're not in that game.

Sometimes we need to work with other companies to provide you with service. These might include:

  • Parts Suppliers: We might need to share your vehicle info (like VIN) to order the right parts for your car.
  • Payment Processors: Your payment info goes through secure payment processors who handle the transaction.
  • Diagnostic Software Providers: Some diagnostic tools connect to cloud services to get the latest repair information and technical service bulletins.
  • Email/SMS Services: We use communication platforms to send you appointment reminders and updates.

All these third parties are required to protect your information and only use it for the specific purpose we've engaged them for. We don't just hand your data to anyone who asks.

If we ever need to share your info with someone new for a specific reason, we'll let you know first (unless it's an emergency or legally required).

Got questions or concerns about how we handle your information? We're here to help. Seriously, if something about this policy doesn't make sense or you're worried about your data, reach out.
